Age Requirement

Scheduling Consults / Surgery Appts

All consults except implants, pathology, and TMJ are scheduled as CONS. For any scheduling questions, Yolanda is the best form of contact. Patients scheduled after 2:45 should be told to arrive at
2:45 regardless of the time.

Last consult is at 2:30 is what we tell patients. The patient can be scheduled up until 4pm, just make sure to add the "+" marks so they will arrive at 2:30. No consults earlier than 11:00am.
Apicoectomy / (root tip) - CBCT required
Contact office for blood thinner instructions.

Referrals

A referral is required for all non WT ext & Implants
Referrals and x-rays must be sent to info@atlantamosa.com.
Patients are responsible for obtaining their own referral and x-rays. 

Appointment Notes

Appointment notes should be utilized.
Examples: NT. 1,16,17,32/ DDS Dr. Shah/ Pt has ref/ Need pan.
POC / FU: weeks - days - SP - EXT or IMP - #s - LA or IV

"+" in front of appointment notes adds an additional 15m increment, do this for appts scheduled after 2:45, consults, and consult same day surgery. Example: No plus sign for 3:00 = 3:00. +3:00=3:15, ++3:00=3:30.

Acronyms: S/P (Status Post) - include how many days/weeks its been since surgery. If patient calls to reschedule to a later date, change the time frame it has been since surgery.

Appointment Confirmation

Appointments are confirmed via email, text, and phone calls. Lighthouse, the confirmation program, automatically tells patients to arrive 15m prior to their appt time.

Cancellations/ Reschedules

If a patient needs to cancel or reschedule an appointment, the appointment is cut and pasted. Once the appointment has been cut & pasted, Note the change in the consult/surgery appointment note and add to contact notes in patients chart.

Patients needing to cancel must provide 24 hours notice. There is a cancellation fee of $200 for any surgical appointment if canceled with less than 24 hour notice. Send any last minute cancellations to the office to take care of.

Cancellation List

The office uses an excel spreadsheet as their active cancellation list. Email the office any patient that is needing added to the cancellation list. 

Holiday Breaks

During peak times, the cancellation policy is 48 hours notice for surgery cancellations. 

Patients with Special Needs

Patients who have special needs should arrive 30 minutes prior to their appointment. 

Sign Language Interpreter

If an interpreter is needed, the patient will need to bring one with them. 

Same Day Surgery

Patients who are in pain can be scheduled for same day surgery. These calls should be forwarded to the office to handle. 

Openings in the surgery schedule 24 hours prior- can anything be scheduled?

If there is an opening within 24 hours on the surgery schedule, any type of appointment may be scheduled. 

Appointments that need to be coordinated with the referring doctor

The doctors communicate with the referring doctors and dictate to staff if we need to handle any follow up. 

Procedures not performed

Connective tissue graft, OGS, Trauma, TMJ, Sleep apnea/oral appliances

How is the need for a medical clearance notated?

If a medical clearance is needed there will be an alert in the account. 

How long is a consult good for?

Evaluations a year or more must come back in office for a re-evaluation.
Evaluations 6mos - 1 year, please discuss w/ office before scheduling.

Work-ins

If the patient is in pain or needing to be seen the same day, put the call through to the office. 

Follow Ups

Follow ups are typically a tech call. If the patient is experiencing pain/symptoms at the post-operative check up call they will be seen for an in person follow up. 

Duplicate Accounts

If a duplicate account is found, use the old account. There should be an alert in the other account "DO NOT USE" with the correct account number to use. If no charges are on the new account, it can be deleted. Send an email to the office email.
