After you receive a new referral, it can be accepted on the Incoming Referrals page. This is the first step to letting the sending provides know how you plan to handle that referral. For each referral you can also manage your workflow, communicate with the provides, and update the details.
Accept a New Referral
- To get started, select the Incoming tab.
- On the Incoming Referrals page, you will see the patient being referred, the provider referring them, and the status off the referral.
- When a new referral arrives, a blue and white number
appears on the Incoming tab. To be notified of new referrals by email, text, or fax, see Manage Notifications (https://support.leadingreach.com/solution/articles/16000096988-manage-notifications)
- To see the referral details and provides notes, click View.
- To notify the sending provides that you have received the referral, select the New status and change it to Received or the most appropriate status.
Note: You will be prompted to update a referral status ouf of “New” when navigating away from the referral details page if you have not done so already. Choosing to not update the status may adversely affect your Referral to Response metric.
Manage Your Workflow
- Uses statuses to manage your workflow for processing referrals. To customize statuses, see Create Custom Statuses https://support.leadingreach.com/solution/articles/16000097859-create-custom-statuses).
- Sort referrals using one of these tools:
- To search for a referral, click one of the search boxes on the right, then type the information and press Enter
- To filter by date, select a Date Filter or select the Enable Custom Date Range checkbox.
- To filter by other criteria, select the checkbox next to the criteria name. You can select one or multiple criteria.
- To remove all filters at once, click Clear Filters. Note that if you don't clear filters, they will save even after you log out.

Communicate
To view notes from the provides:
- When a new message arrives, a speech bubble
appears on the Incoming tab. On the Incoming Referrals page, a speech bubble appears next to the referral.
- Next to the referral on the Incoming Referrals page, click View
- Review the note directly below the notes box. Each note is date and time stamped.
- To view an attachment, under the attachment name click either Preview or Download.
Note: Need to remind yourself to come back to a note later? In the note from the provides, click Mark Unread.
To send notes to the provider:
- Next to the referral on the Incoming Referrals page, click View.
- In the notes box, enter your note and click Send
- Optional: To attach files, click Attach Files.
Update
To make updates to a referral's details:
- Next to the referral on the Incoming Referrals page, click View.
- In the Referrals Details page, click edit then type the information and click Save Details.
To add notes that only your organization can see:
- Above the notes box, click Private then type information and click Send.
