Click on the schedule where you want to schedule the patient.
- The patient you are currently working in will auto-populate. Ifnewpatient,clickon the + sign and begin adding patient.If established patient, click the 3 little dots next to the + sign to search for patient.
- Select type of service
- Select template type
- Select/confirm provider
- Select/confirm location
- If established patient, and a treatment plan is on file, you can click to add the treatment plan to the appointment.
- Click the messages tab and enter appointment notes.
New Patients: Begin entering patient demographics. Fill in as much information as
possible. If there is a risk of adding a duplicate patient, it will display to the right under “patients matching entered name”. If the patient has an existing WinOMS account, you can put the ac# in the “ID” field. You can also create an alert (shown later). Check off whether the patient has xrays, understands consultation fees, or has insurance.
Click “Next”. This opens the Guarantor Screen.
If the patient is 18+ click “patient is guarantor”. If patient is a minor child, unclick that box. Complete Guarantor info. City and State will populate upon entry of the zip code.
Make sure “account finance doctor” and “Patient primary doctor” match. Check location information also and select appropriate location.
If patient is self pay, change the account category to ‘patient balance’.
Click Next. This opens the patient contacts screen. You should add a phone number and email address by clicking the ‘+” sign. Add the referring doctor. If patient was referred via advertising or by another patient, you can choose those if needed. Click Next.
You can click through the medical info and insurance info. You will add an alert if the patient discloses a medical condition/allergy. You will add the insurance plan information in the account screen.
Verify the summary of info entered. Click Finish when done.
The appointment screen will open.
Verify the patient name displayed is correct.
- Enter type of service.
- Enter template type
- Verify provider
- Verify schedule column
- If returning patient, and there’s a tx plan on file, you can connect the treatment plan to the appointment by clicking the treatment plan button.
More… - Check boxes on bottom right as appropriate.
Click messages tab to complete appointment notes. These are the notes that will display on the schedule.
Click OK and verify that the appointment showed up on the correct date/time/location/doctor schedule and column.
To add patient insurance plan information:
Insurance Verification Team has requested that all patient plan information be entered in the “account” screen. This is where they will look for plan details when verifying insurance. Access the patient account screen by going to “billing” and “account”.
You can edit address and billing/guarantor info in this screen as well.
Click the “comments” tab in order to enter in the patient plan details. Remember the 10 points needed for insurance verification and enter all info in this tab.
Remember to always click “save” to save changes on each screen.
